What is Meeting Planner?

Plans a meeting between people in different time zones. You enter each participant's zone and working hours; the tool lists the windows on the chosen day when everyone is working, and shows an hour-by-hour grid with each person's local time.

How to use Meeting Planner

  1. Choose the Meeting date (taken in the first participant's time zone).
  2. For each participant set the Time zone and the working hours From and To; add or remove participants as needed.
  3. Pick the Meeting length and the Time step (30 minutes or 1 hour).
  4. Read the windows where everyone is available, or the best partial overlap if there is none, and check the colored grid.

Example

Input
2026-03-10, America/New_York 09:00–17:00, Europe/London 09:00–17:00, 60 minutes
Output
America/New_York 09:00–13:00 | Europe/London 13:00–17:00

When to use Meeting Planner

Use it when scheduling calls across offices or with remote clients. It only considers working hours, not people's actual calendars, holidays or lunch breaks, so confirm the slot with participants.

How Meeting Planner works

The day of the reference participant is divided into 30- or 60-minute slots, computed from the real start and end of that local day (so 23- or 25-hour DST days are handled). For every slot the instant is converted to each participant's local time with Intl, and the slot is available for that person if it lies completely within their working hours (overnight shifts such as 22:00–06:00 are supported). Consecutive slots where all participants are available are merged into windows, and only windows at least as long as the meeting are listed.

Common Use Cases

  • Scheduling a stand-up for a team spread across Europe and America
  • Finding a call time with a client on the other side of the world
  • Planning webinars for several regions
  • Checking whether a shared working window exists at all

FAQs

Are daylight saving differences handled?

Yes. Each slot is converted for the exact date, so the overlap changes correctly in the weeks when the US and Europe switch clocks on different dates.

What if there is no common time?

The tool says so and shows the windows where the largest number of participants are available.

Can someone work night shifts?

Yes. If the end time is earlier than the start time (e.g. 22:00 to 06:00), the working hours cross midnight.

What do +1 and -1 in the grid mean?

That participant's local time is on the next or previous calendar day compared with the meeting date.
